56 words. 5 blanks in [brackets] to fill before you send it.

The format, paragraph by paragraph

150 to 250 words. Start with “Dear Hiring Manager,” and end with “Regards,” and your name.

  1. 01

Who you are and what you are applying for

The role, the company, your degree, and three skills from the posting that you really have. Recruiters search by those words, so use the posting’s spelling.

  2. 02

One thing you did that proves it

A project, internship, rank or club result. Say what you did, how, and what came of it. This is the paragraph a recruiter remembers.

  3. 03

    Why this company

One sentence that could only be written to this company. If you cannot write it, leave it out rather than write a line that fits any company.

  4. 04

    A short close

Say your résumé is attached and that you would like to talk. No need to repeat your phone number; it is on the résumé.

Weak lines and strong ones

  • I am writing to express my interest in the post of Software Engineer in your esteemed organisation.

I am applying for the Software Engineer position at Zoho. I have just completed a B.Tech in Computer Science from SRM Institute of Science and Technology (2025), and the skills in your posting that I use most are Java, Spring Boot and SQL.

The weak line could open any letter. The strong one says the degree and three skills the recruiter is looking for.

  • I am a hardworking and passionate fresher who is a quick learner and a good team player.

In my final-year project, I built a Power BI dashboard for a local retailer that cut their weekly sales report from a day to an hour.

Anyone can say they are hardworking. Only this person built that dashboard, and it has a result attached.

Questions freshers ask

How do I write a cover letter as a fresher with no experience?

Use your projects, internships and college work as the experience. One real project with a result says more than a paragraph about being a quick learner. Keep it to four short paragraphs: who you are, what you did, why this company, and a close.

How long should a fresher cover letter be?

Between 150 and 250 words, which fits well inside one page. Recruiters skim; four short paragraphs get read, a full page often does not.

Cover letter or email: which do I send?

If you are applying by email, the email body is your cover letter. Paste the letter in, put the role and your name in the subject line ("Application for Data Analyst: Ananya Rao"), and attach your résumé as a PDF named after you. Our job application email guide has samples and a builder for the short version. If the job site has a cover letter box, paste it there instead.

Does every job need a different cover letter?

The shape stays the same; the role, company, skills and the why-this-company line change. Use the skills from each posting that you really have, and never claim one you do not.

Should I write "Dear Sir/Madam"?

If the posting names the recruiter, use their name. If not, "Dear Hiring Manager" is safe and does not guess anyone’s gender.

Is a cover letter needed for an internship?

Often it is optional, which is why a short, specific one stands out. For an internship, say what you are studying, one thing you have done, and what you want to learn there.
